I got asked how to do this today, a client has a number of roaming users (teachers) who don’t like waiting for Outlook to create a local copy of the mailbox each time they log on. Like Microsoft Entourage for Mac 2008, Outlook 2016 for Mac and Outlook for Mac 2011 are intended to be purely locally cached mail clients. Changing the location or using a mail identity that is located on an external hard disk or a network is not supported. I’ve been getting issues with cached mode for god knows how long, and I’ve just resorted to turning it off entirely to avoid the grief. It’s my go-to first fix whenever I hear someone with an Outlook issue and 80% of the time, it’ll fix it. Click the File tab. Click Account Settings, and then click Account Settings. On the E-mail tab, click the Exchange account, and then click Change. Under Microsoft Exchange server, select or clear the Use Cached Exchange Mode check box. Enable or disable Exchange cached mode in Outlook. Open the Account Settings dialog box. In Outlook 2010 and 2013, please click File Info Account Settings Account Settings. The Outlook cached mode slider, managed by Group Policy. The Outlook cached mode slider does not directly control the size of your OST file in gigabytes. Instead it allows you to select how much data is downloaded from your mailbox by age. The slider’s default setting depends on size of the hard disk in your computer.
2. Download and extract the templates to your domain controller. Start > Administrative tools > Group Policy management console > either create a new policy and link it to your USERS or edit an existing policy.
3. Navigate to:User Configuration > Policies > Administrative Templates
Right click > Add/Remove Templates.
4. Add > Navigate to the folder where you extracted the templates > ADM folder > en-us folder (change depending on your locale) > Outlk14.adm > Open.Outlook 2016 Cache Settings
5. Now Navigate to:User Configuration > Policies > Administrative Templates > Classic Administrative Templates > Microsoft Outlook 2010 > Account Settings > Exchange > Cached Exchange Mode

6. Set the policy to “Disabled” > Apply OK > Close the policy editor.

If ’Download shared folders (excludes mail folders)’ is checked in Outlook, it should be disabled. Delegates should be working with calendars in real time and should not cache copies of resources on their computer which can result in slow performance of Outlook and/or become unresponsive. To disable this setting you need to do the followingOutlook For Mac Turn Off Cached Mode
*On the menu select Tools > Account settings
*Click on your account, then on Change More Settings then select the Advanced tab.
*Clear the ’Download shared folders (excludes mail folders)’ check box.
*Exit and restart Outlook.
